Email Signature Generator

Every email your business sends is a small advert. This generator builds a clean, professional signature using table-based HTML that renders correctly in Outlook, Gmail and Apple Mail — with your details, tappable phone number and website link.

How to read it

Plain HTML with inline styles, which is what Outlook, Gmail and Apple Mail all render the same way; no images, so nothing arrives as an attachment or gets blocked. The website link can carry UTM tags (utm_source=email, utm_medium=signature) so that enquiries that start from a reply to an email are attributed rather than counted as direct.

Meadowbank Dental is a fictional practice written for these examples: the result above is what this tool’s code produces on that page, regenerated whenever the site is built, and is not a real business’s data.

How it works

What this tool measures, and what it leaves alone

Read this before you act on a result. Every tool here states its method and its limits in the same breath.

Installing your signature

Use "Copy signature" (which copies the rendered signature, not the code), then paste directly into Gmail (Settings → Signature), Outlook (Settings → Compose → Signatures) or Apple Mail. The copy-paste route preserves formatting in all three; the HTML source is available too for systems that accept raw HTML.

Keep it lean: name, role, company, one phone number, website — and skip inspirational quotes, large images and a dozen icons. Signatures over a few lines get clipped by Gmail and read as noise.

Questions

Common questions

Why table-based HTML in 2026?

Because Outlook still renders email with Word’s engine, which ignores most modern CSS. Tables are the only layout that renders identically everywhere, which is why every professional signature tool uses them.

If you need more than the tool
